Assist in the operations of the ITS Department. 1. Maintain departmental budget; create requisitions, budget transfers, submit purchase orders to vendors, confirm delivery of goods and services, authorize payment of invoices while documenting and maintaining ITS records. 2. Create and maintain reports of ITS Projects, Board approvals and expenses. 3. Prepare monthly budget status reports. Compare operating budget to actual expenditures. Submit to management reports of significant variances. 4. Provide estimated budget outcomes for end of the fiscal year using historical data and the most currently available information. 5. Monitor part-time and overtime accounts. 6. Assist in the collection of financial data in preparation of the annual ITS budget, its development and implementation. 7. Reconcile individual salary, position, title, organization, stipends with Budget Control and Human Resources. 8. Prepare annual request for Board approval of ITS vendors, anticipated annual dollar expenditures and projects. 9. Provide ad hoc reports. 10. Other duties as assigned. - Must have an Associate's degree (or higher level degree) from an accredited institution. - Must have at least two (2) years working experience in an office environment, preferably supporting the IT Department. - Must be proficient in Microsoft Office. Knowledge, Skills and Abilities: - Ability, sensitivity and discretion to work with highly confidential information. - Knowledge of Business English, record keeping techniques and requirements. - Demonstrable knowledge and skill in Microsoft Office with emphasis in Excel. - Ability and willingness to work collaboratively with others. - Provide an excellent quality of work with little or no supervision required. - Must be highly organized, detail orientated and possess excellent written and verbal communication and documentation skills. - Ability and willingness to learn new software, processes and procedures. - Ability and willingness to learn, apply and follow College policies and guidelines. - Must be able to multi-task numerous requests, diverse priorities, due dates and timelines while complying with College policy and guidelines. - Ability to work effectively under deadlines. - Ability to review and assess quantitative data. - Ability to prioritize and manage multiple demands and projects.
